Who we are

The Aluna Foundry is a strategic consultancy operated by Bindi Balazs as a sole trader, registered in Queensland, Australia. In this policy, "we," "us," and "our" refer to The Aluna Foundry. "You" refers to anyone who visits thealunafoundry.com, submits an application, subscribes to our communications, or engages with us as a client or partner.

What this policy covers

This policy applies to thealunafoundry.com, including the application form at thealunafoundry.com/apply, our client portals, our event pages, and any communications we send. It explains what information we collect, why we collect it, who we share it with, and the rights you have over it.


What we collect

When you submit an application or enquiry: your name, email address, business or organisation name, optional LinkedIn and website URLs, and the answers you provide to the application questions. If you tick the marketing consent box, we record that consent.

When you subscribe to communications: your name, email address, and consent record.

When you become a client: the information required to deliver the engagement, including any materials, documents, or context you share with us through the client portal or directly.

When you visit the website: standard technical information collected by our hosting provider, including IP address, browser type, referring page, and time of visit. We do not run third-party advertising or behavioural tracking.


Why we collect it

We collect this information to:

  • Review applications against our intake criteria and respond to you directly.
  • Deliver the engagement if we work together.
  • Send communications you have opted into.
  • Maintain records of our work and our agreements.
  • Meet our obligations under Australian law.

We do not sell your information. We do not share it with advertisers, data brokers, or marketing networks.


Where your information is stored

Your information moves through a defined chain:

Netlify hosts our website and processes form submissions. Your application data is captured here first.

Notion is where we work from day to day. Application data, client records, and engagement materials are stored here.

Outlook (Microsoft 365) is our email system. Direct correspondence with you is stored here.

These providers have their own privacy and security obligations and may store data outside Australia, including in the United States and the European Union. By submitting information through our website, you consent to this transfer.


How long we keep it

Applicants who do not become clients: we keep your application for 24 months from the date of submission, then delete it. If you would like us to keep your information for longer — for example, because you may apply again in the future — reply to confirm and we will note that on your record.

Clients: we keep engagement records for seven years after the engagement closes. This reflects standard business and tax record-keeping requirements in Australia.

Marketing subscribers: we keep your details until you unsubscribe. Every email we send includes an unsubscribe link.

Website visitor logs: kept by Netlify for the period defined in their own retention policy, typically 30 days.


Your rights

You have the right to:

  • Ask what information we hold about you.
  • Ask us to correct anything that is wrong.
  • Ask us to delete your information, subject to any legal obligation we have to retain it.
  • Withdraw consent for marketing at any time.
  • Lodge a complaint with the Office of the Australian Information Commissioner if you believe we have mishandled your information.

To exercise any of these rights, email studio@thealunafoundry.com. We will respond within 30 days.

If you are based in the European Union or the United Kingdom, you also have rights under the General Data Protection Regulation (GDPR), including the right to data portability and the right to object to certain processing. The same email address applies.


Security

We use providers with industry-standard security practices. We limit access to client and applicant information to those who need it to do the work. We do not store payment card details or sensitive financial information through the website.

No system is completely secure. If a breach occurs that affects your information, we will notify you and the relevant authority in line with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).


Children

The Aluna Foundry is a business-to-business consultancy. Our services are not directed at anyone under 18, and we do not knowingly collect information from anyone under that age.


Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects the most recent version. Material changes will be communicated to active clients and marketing subscribers directly.
